Requests and approvals
People who aren’t admins can ask for a space. Approvers see exactly what would be created.
Asking for a space
Anyone in a template’s allowed groups opens Request a space from the Apps menu. They see the templates shared with them, each with what it makes, how many blanks there are to fill, and whether it needs approval. They fill in the blanks and send it.
The screen tells them who will review it — the named approvers and approver groups — so they know who to ask. They can see every request they’ve made under My requests, and take one back while it’s still waiting.
Approving
Approvers get an Approvals tab, on the request page and on the admin page. Each request can be reviewed:
- What approving does — the space that will be created, with how many pages, and that the person who asked gets the roles the template gives them.
- Anything in the way — pages that can’t be copied, a key that’s taken, a blank that was left empty. These come first, before any counts.
- What they filled in — and you can change it before saying yes.
Declining needs a reason. The person who asked sees it, so they know what to change.
Who approves
Each template names its approvers: people, groups, or both. A template that names nobody falls back to the Groups who approve when a template names nobody set in Settings. Confluence admins can always approve.
So a template that needs approval can be saved without naming anyone, as long as that setting has a group in it; the editor says its requests will go there. With the setting empty, the editor asks you to pick who approves before it saves.
Skipping approval
A template can list groups that skip approval. Members of those groups create a space straight away, as long as they can use the template — they must be in its allowed groups too. Everybody else still waits for an approver.
After approval
The space starts being created at once. The person who asked can watch it happen, and gets the roles the template gives them, so they can manage the space themselves.
